Description

This is a non-exempt, part-time position, not to exceed 1,039 work hours in a fiscal year, with the the Carson City Library located in Carson City, Nevada. In which the employee performs a variety ofduties related to the maintenance and administration of services related to the needs of Carson City.

  • Greet and assist visitors with routine matters.
  • Answer telephone, route calls, and take and relay messages.
  • Respond to request for information related to specific unit of assignment.
  • Type, proofread, and distribute correspondence, forms and reports.
  • Enter and retrieve information from an automated data system.
  • Maintain and update filing and/or records systems, mailing lists, and other specialized record keeping information.
  • Maintain and monitor office and/or specialized supplies and related equipment.
  • Review all work for accuracy and completeness, and maintain confidentiality of all information.
  • Photocopy, collate, and distribute reports and documents.
  • Photograph recorded documents onto microfilm.
  • Sort and disseminate mail to appropriate staff and office.
  • Operate a variety of office equipment, i.e. computer, fax, copier, sorter, folding machine, postage machine, and etc.

Knowledge of:

  • Proofread documents for accuracy and completeness.

  • Operate a variety of office equipment including personal computers, facsimile machines, photocopiers, scanners, postage meters, and calculators.
  • Communicate effectively, both verbally and in writing.
  • Read and follow instructions.
  • Establish and maintain interpersonal and cooperative relationships.

Education and Experience:
Any combination equivalent to experience and education that could likely provide the required knowledge and abilities. A typical way to qualify: graduation from high school or the equivalent, supplemented by specialized clerical training and two years of increasingly responsible clerical experience.

One (1) year of expereince with general clerical, accounting and customer service duties in a library preffered.

Language skills:
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, and governmental regulations; write reports, business correspondence, and procedure manuals; effectively present information and respond to questions from groups of managers, customers, and the general public.

Mathematical skills:
Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percentage.

Reasoning ability:
Ability to define problems, collect data, establish facts, and draw valid conclusions; interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Other knowledge, skills & abilities:
Intermediate to advance proficiency level utilizing Microsoft Office applications including Excel, Access, PowerPoint, Word, and Outlook, and the ability to operate other standard office equipment, including telephones, calculators, copiers, fax machines, etc. is required.

SUPERVISION RECEIVED AND EXERCISED:
The employee will report to the Department Head for daily duties.

While performing the duties of this job, the employee is regularly required to stand, walk, sit, and drive; use hands to finger, handle or feel; reach with hands and arms; talk and hear. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

WORKING ENVIRONMENT:

Office and field environment; travel from site to site; extensive public contact; exposure to computer screens; exposure to traffic conditions and external environment when traveling from one office to another. The position resides primarily in an office environment where the person is required to sit for extended periods of time; frequently use computers and standard office equipment; noise level is usually quiet.

CONDITIONS OF EMPLOYMENT:
  1. Continued employment is contingent upon all required licenses and certificates being maintained in active status without suspension or revocation.
  2. Any City employee may be required to stay at or return to work during emergencies to perform duties specific to this classification or to perform other duties as requested in an assigned response position. This may require working a non-traditional work schedule or working outside normal assigned duties during the incident and/or emergency.
  3. Employees may be required to complete Incident Command System training as a condition of continuing employment.
  4. New employees are required to submit to a fingerprint based background investigation and a drug screen. Employment is contingent upon passing the background and the drug screen.
  5. Carson City participates in E-Verify and will provide the Social Security Administration (SSA) and, if necessary, the Department of Homeland security (DHS), with information from each applicant's Form I-9 to confirm work authorization. All candidates who are offered employment with Carson City must complete Section 1 of the Form I-9 along with the required proof of their right to work in the United States and proof of their identity prior to starting employment. Part-time employees are limited to working no more than 1,039 hours in any fiscal year, July 1 through June 30. Part-time employees are not eligible to receive paid leave (including pay for not working on holidays), PERS retirement, or medical/dental/vision/life insurance. Nevada does not have a state income tax. Part-time employees do not contribute to social security; however, they must contribute 7.5% of their gross pay into a FICA Alternative Plan and are also responsible for paying the 1.45% Medicare tax. Part-time employees are covered under the City's worker's compensation program.
