The Office Coordinator assists with ensuring the site office runs efficiently and
smoothly from an administrative and team perspective. A successful Office
Coordinator is a detail-oriented, team player with the ability to manage multiple tasks, produce quality work, and consistently meet deadlines.

The Office Coordinator will work closely with all members of the project team (project managers, project engineers, superintendents, and project accountants).

Responsibilities

  • Assist with project start-up process - setting up vendors for office logistics, mail delivery services, and scheduling safety orientations as needed.
  • Manage subcontracts, insurance certificates and other project documents making sure subcontractors have paperwork in place before coming on site, run weekly audits.
  • Manage document control throughout the project duration: update drawing list and any other project updates.
  • Provide overflow administrative services to project team members as needed.
  • Enter Certified Payroll and data for field staff time sheets.
  • Assist with project completion closeout - cancelling office services and vendors.
  • Scan and index documents as requested.
  • Work with project team on any new assignments or project specific tasks needs.
  • Provide general site office support, including assisting leadership and administrative support teams.
  • Coordinate project contract documents, subcontract/project insurance, compile billing documents such as Work Authorizations, Service Agreements, Subcontract Change Orders, etc.
  • Assist in other duties as assigned, relevant to the achievement of the position's and team's objectives.


Required Qualifications
  • Organization, time management, and attention to detail is imperative.
  • Ability to identify and resolve complex issues.
  • Flexible in day-to-day tasks.
  • Ability to think critically and prioritize work tasks.
  • Excellent listening skills and strong communication skills.
  • Ability to motivate and support team morale.
  • Proficient computer skills in Microsoft Office Suite.
  • 3+ years of experience in an administrative support role.
  • A strong work ethic and a "can-do" attitude.
  • Must possess a valid driver's license and a satisfactory driving record in accordance with Fortis policy.


Preferred Qualifications
  • Field office coordinator experience preferred.
  • Proficient in Bluebeam and project management software.


Physical Requirements
  • Work is performed in a professional office environment. Role is primarily stationary, often standing or sitting for long periods of time. Role may stand or walk throughout the office for up to 30 minutes at a time. Utilize standard office equipment such as computers, phones, photocopiers, etc.
  • Communication with internal and external contacts, including speaking and hearing.
  • May occasionally move equipment or boxes up to 50 lbs.


Travel Requirements
  • All Fortis positions require some level of driving.
