Overview

Administrative Secretary (40 hrs./wk., 226 days) – located at Washoe County School District, Reno, NV. The role involves highly responsible and complex secretarial work requiring independent judgment in applying and interpreting departmental policies and procedures, and in maintaining the secretarial/clerical functions of a major unit, department, or school office.

Responsibilities

  • Serve as liaison between the principal and staff, students, and the public; may supervise and/or assign tasks to subordinate clerical staff.
  • Prepare and process purchase orders and payroll information; maintain financial and statistical information; register new students and transfers; input data into computerized systems.
  • Develop office policies and procedures; interpret policies and regulations for the public, staff, and district employees; refer inquiries to appropriate individuals or locations.
  • Screen and route telephone calls, visitors, correspondence, reports, and bulletins; review forms and documents for accuracy and resolve errors.
  • Prepare replies and follow up on routine correspondence; research and prepare diversified reports; organize and maintain files.
  • Prepare important administrative documents; may take and transcribe complex dictation; maintain calendars and schedule appointments, meetings, and conferences.
  • Record and prepare minutes of management meetings; relieve supervisor of routine details; maintain school budget records, ledgers, and checking accounts; assist in budget preparation and monitor expenditures.
  • Receive material and verify invoices for payment; maintain inventory of equipment and supplies; may assist with medical-related duties in absence of school nurse/clinical aide and supervise students detained in office as needed.

Employment Standards

Education/Experience: Any combination of education and experience that would likely provide the required knowledge and skills is qualifying. A typical pathway:

  • Equivalent to a high school diploma, supplemented with coursework in secretarial science, business, accounting, or related area.
  • Four (4) years of responsible secretarial experience, particularly in an office with complex secretarial responsibilities.

Knowledge of: modern office practices, grammar, spelling, vocabulary, basic mathematics, budgeting and bookkeeping, computer operations, and record-keeping methods.

Skills: ability to work with minimal supervision, communicate with diverse groups, maintain confidentiality, organize work, interpret complex instructions, prioritize, and handle interruptions.

Physical Demands: Sedentary work with possible light walking, standing, bending, or lifting of light items. No special physical demands required.

Work Environment: Normal office safety conditions; well-lit, heated, and ventilated work area.

Salary: Grade 21; Schedule A $21.44 (entry step); Schedule B $25.78 (entry step). Salaries subject to annual adjustment. New employees are normally placed on the entry step of the position grade. See salary schedules for details.
