Summary
Responsible to ensure all tasks are completed by the Registration Coordinators and data and communication is sent out to district registrars. Responsible for developing registration training and quality assurance monitoring. Develops and teaches applicable educational content, prepares training plans, coordinates and conducts training for new and existing team members. Compiles monthly performance reports and audits. Analyzes data trends to make workflow recommendations to leadership and participates in performance improvement projects. Acts as Epic electronic health record (EHR) registration subject matter expert for the District. Provides day to day support to the registration team.

Essential Duties and Responsibilities

  • Ensures all tasks are completed by Registration Coordinators within set time frames
  • Assigns out tasks for the Registration Coordinators
  • Ensures training is set up for new employees and remedial training is set up
  • Checks scorecard data for accuracy and audits RC's scorecard data
  • Observes Registration Coordinator class instruction and provides feedback to the team member and registration leadership
  • Trains Registration Coordinators
  • Sends out district wide scorecards to leadership and executive leadership teams within set time frames.
  • Sends out updates and changes in registration topics to district wide registration teams
  • Leads RC huddles
  • Submits uniform and supply orders for the Patient Access team
  • Responsible for volumes tracking in Patient Access service areas and communicating to the team
  • Coordinates Registration Coordinators schedules to maximize staff productivity
  • Reviews coverage on schedule prior to leadership team posting to ensure adequate coverage
  • Leads team meetings for the Registration Coordinators
  • Develops and may present content for Patient Access team meetings when assigned
  • Acts as registration training and education expert for district registration.
  • Provides a consistent, high-quality, supportive training experience for all team members with clear expectations and goals.
  • Coordinates onboarding for new team members as well as ongoing education for existing team members.
  • Works in collaboration with Patient Access Leads for service area specific training, ongoing training, and remedial training.
  • Assigns duties to team members and ensures tasks are completed accurately and timely in the absence of a Patient Access Lead.
  • Develops and delivers applicable educational content including, but not limited to: Registration classes, annual regulatory education, customer service classes, ad hoc requests
  • Maintains Registration Intranet page.
  • Ensures educational content is accurate, current, and in alignment with regulatory and industry standards.
  • Regularly checks training content for necessary updates.
  • Prepares training plans and schedules in coordination with team leads and management.
  • Creates training tools and assessment materials including but not limited to: manuals, presentations, standard operating procedures, competencies, tip sheets, and rubrics.
  • Communicates training plan to trainers and ensures they have all applicable materials prior to the start of training.
  • Assigns e-learning modules.
  • Regularly checks in with trainees throughout onboarding and reports progress to leadership.
  • Maintains all training records including but not limited to: completed checklists ,exit assessments, training class attendance, e-learning module completion, and certifications.
  • Identifies needs for remedial training in coordination with leadership and provides one-on-one targeted education in response to performance deficiencies.
  • Performs exit assessments to ensure team members are ready to work in the service area.
  • Performs observations and other assessments upon request.
  • Ensures assigned education, training classes, and service area shadows have been completed timely and accurately.
  • Performs assessments on team members returning from leave and intradepartmental transfers to ensure readiness to work in the service area.
  • Leverages technology to ensure training is available from any location within the District.
  • Provides in-person education at different sites when requested.
  • Regularly researches training methods to ensure education is innovative and effective.
  • Ensures training is engaging, high-quality, and informative.
  • Welcomes new team members and mentors their growth.
  • Acts as subject matter expert for registration systems, policies, procedures, and best practices for health system.
  • Completes monthly quality reports, audits, and scorecards for District registration.
  • Assists with data collection for financial counseling and financial customer service.
  • Delivers quality data to leadership regularly.
  • Performs data analysis and reporting requests as needed.
  • Utilizes quality data to identify trends and opportunities for process improvement. Shares trends with leads and management within various teams. Participates in process improvement projects when requested.
  • Generates ideas and formulates proposals for leadership as needed.
  • Maintains Departmental Process Improvement tracking for Patient Access.
  • Acts as Epic Grand Central subject matter expert.
  • Teaches Grand Central courses for new team members.
  • Schedules Electronic Health Record (EHR) classes in coordination with Human Resources. Facilitates all aspects of classes such as classroom space, virtual invites, training materials, and end user proficiency assessments.
  • Validates user access upon completion of training.
  • Signs registrars up for payor websites.
  • Acts as point of contact for Epic system questions and issues.
  • Researches system issues and resolves errors when assigned.
  • Provides Epic upgrade education.
  • Answers day-to-day questions from front-line staff and provides operational support to service areas as needed.
  • Works in partnership with registration staff and other departments to support achievement of operational goals including but not limited to registration quality and patient satisfaction scores.
  • Readily identifies opportunities for efficiency and optimization in Epic through the Epic User Web and other sources.
  • Maintains positive communication and progress updates at team huddles.
  • Works in the service areas when needed.
  • Prepares content and presents at team meetings, as needed.
  • Establishes a transparent system to track progress on tasks and meet deadlines.
  • Maintains current revenue cycle knowledge.
  • Responds to requests in a timely manner and gathers all necessary data to carry out the requisite.
  • Displays excellent customer service, critical thinking, analytical, and relationship building skills at all times.
  • Respects all learning styles and caters teaching to meet the needs of the audience.
  • Communicates proactively and checks for comprehension.
  • Checks email several times during shift and responds appropriately.
  • Completes all job functions with discretion ensuring patient privacy.

Minimum Education/Experience
No educational requirement and 1-2 years relevant experience

Required Licenses/Certifications
EPIC Credentialed Grand Central Trainer

BLS: Employee will be enrolled in the Resuscitation Quality Improvement (RQI) Basic Life Support (BLS) Entry or Prep Curriculum (depending on their previous BLS certification).

Other Experience/Qualifications
Required:

  • CHAA Certified Healthcare Access Associate
  • One to two years' experience working in Patient Registration with Electronic Medical Records (EMR)
  • At least three years' experience as a Registration Coordinator

Preferred

  • Associate's or Bachelor's degree in healthcare administration, business administration or related field
  • Excellent analytical, presentation, verbal and written communication skills.
  • Strong teamwork and customer service focus.
  • Ability to build rapport with training participants and their leaders.
  • Ability to communicate effectively at all levels, relative to project needs.
