Job Title: Remote Maintenance Coordinator & Phone Support (100% Work From Home)

Location: Remote from Latin America

Position Type: Full-time

Salary: $1,200 - 1,8000 USD/month depending on experience

Schedule: Monday-Friday, 9:00 AM-6:00 PM Pacific Time (PST) with a 1-hour lunch break

Job Overview:

Our client is a San Diego-based Real Estate and Property Management company. They support tenants, property owners, buyers, and sellers through organized systems, responsive service, and high standards of communication. Their team relies on clear processes and task management systems to ensure every request is properly tracked, assigned, and completed.

We are hiring a Maintenance Scheduling & Phone Support Coordinator to serve as the first point of contact for inbound calls across all departments, including Property Management (leasing, maintenance, resident support) and Real Estate Sales. This role is essential to keeping daily operations running smoothly by answering calls, gathering complete information from callers, and assigning tasks to the appropriate team members using Monday.com and other internal software systems. The role also supports maintenance coordination and scheduling, ensuring repairs and follow-up work are completed accurately and on time.

Responsibilities

  • Answer inbound phone calls for all departments, including Property Management and Real Estate Sales
  • Serve as the primary call handler by collecting detailed information, asking clarifying questions, and ensuring requests are fully understood
  • Route and assign tasks to the appropriate team members using Monday.com
  • Create, organize, and track tasks to ensure nothing falls through the cracks
  • Enter and manage maintenance requests and administrative tasks in other internal software systems as needed
  • Coordinate and schedule maintenance appointments between tenants, vendors, and internal maintenance technicians
  • Identify missing steps in maintenance workflows and ensure follow-up work is scheduled when required
  • Maintain clear, detailed documentation and notes for every call and request
  • Monitor task progress and follow up to ensure timely completion
  • Support leasing and sales teams by reducing call volume and ensuring inquiries are properly logged and assigned
  • Maintain a calm, professional, and friendly communication style, even during high call volume or urgent situations
Qualifications, Skills, and Key Competencies

Required / Non-Negotiable:
  • Fluent English communicator (any accent is welcome)
  • Maintenance experience or strong maintenance knowledge
  • Customer service experience with a genuine desire to help people
  • Extremely organized with strong time management skills
  • Strong critical thinking and problem-solving abilities
  • Comfortable working in multiple software systems, especially Monday.com
  • Must use own computer and work equipment
  • Excellent and reliable internet connection
  • Must have double monitors at home
Nice-to-have:
  • Fluent Spanish
  • Experience in property management or real estate operations
  • Familiarity with AppFolio or similar property management software
  • Experience supporting multiple departments and handling a high volume of calls
