The Accounting Specialist is responsible for facilitating the movement of assets and processes through established workflows to completion or closure. This role involves managing assigned portfolios through a queue, ensuring documentation is accurately processed, and maintaining high standards of quality assurance and customer service. Operating within highly structured process flows, the Specialist provides essential support to the accounting department while maintaining a low level of autonomy. Core Responsibilities Task Management & Portfolio Oversight (60%)
- Manage and track assigned portfolios or tasks through the operational queue to completion.
- Review, process, and validate documentation received for correctness.
- Coordinate task completion with team members and approve items within designated authority.
- Update company and client systems accurately as required.
- Escalate complex issues or discrepancies to the appropriate department or supervisor for resolution.
Customer Service & Communication (25%)
- Act as a primary point of contact for clients, responding to inquiries via phone, email, portal, or fax.
- Correspond professionally with vendors, clients, and customer liaisons.
- Provide training to vendors or clients on specific internal processes when necessary.
Quality Assurance & Risk Mitigation (10%)
- Perform validation on incoming information and track errors to maintain data integrity.
- Participate in project reviews to evaluate workflows and improve overall quality.
- Identify and report potential risks, including regulatory or investor-related changes.
Additional Duties (5%)
- Perform other functions, duties, and tasks as assigned by management to meet business needs.
Candidate Requirements
- Education: High school diploma or equivalent is required; some college coursework is preferred.
- Experience: 2-3 years of experience in real estate or customer service.
- Experience in financial services, mortgage servicing, or vendor management is preferred.
- Technical Skills: Proficiency in Microsoft Office, with an emphasis on Excel and Outlook.
- Experience with computerized accounting systems (knowledge of LPS and Mas 500 is a plus).
- Essential Skills: reading comprehension and written/oral expression.
- Effective time management and the ability to prioritize tasks in a structured environment.
- Critical thinking and problem-solving skills to identify and resolve process-related issues.
