Administrative Assistant / Receptionist

We are seeking a highly organized and detail oriented Administrative Assistant/ Receptionist to support daily office operations, provide excellent customer service, and ensure smooth communication across teams. This role requires strong interpersonal skills, the ability to multitask effectively, and a high level of professionalism.

Key Responsibilities:

  • Answer and route incoming phone calls.
  • Organize and schedule meetings and appointments.
  • Prioritize and arrange incoming mail and correspondence.
  • Prepare routine reports, spreadsheets, and various documents.
  • Coordinate conference calls, follow-up calls, and calendar commitments.
  • Maintain updated directories for mail, phone numbers, and business contacts.
  • Assist in arranging travel, activities, meetings, and related logistics.
  • Maintain confidentiality across all projects and communications.
  • Draft correspondence, emails, memos, meeting minutes, slides (including scientific materials), contact reports, and other documents as needed.
  • Greet guests in a professional, friendly, and welcoming manner.
  • Prepare and submit expense reports to Finance/Accounting.
  • Serve as backup support for other administrative staff when required.
  • Provide excellent internal and external customer service.
  • Demonstrate schedule flexibility and maintain reliable transportation.
  • Report hazardous or suspicious conditions immediately to a supervisor.
  • Follow all company safety guidelines and procedures.
  • Help maintain clean, orderly, hazard-free work areas.
  • Work independently with minimal supervision and a high attention to detail.
  • Perform other duties as assigned.

Education & Experience:

  • High School Diploma or National Career Readiness Certificate required.
  • Bachelor's degree preferred.
  • Minimum of three years of experience in a similar administrative role.

Supervisory Responsibilities:

This position does not include supervisory responsibilities.

Physical Demands:

Work is primarily sedentary but may involve occasional walking, standing, bending, and carrying light items (under 10 lbs). Reasonable accommodations may be made for individuals with disabilities.

Work Environment & PPE:

Work is performed primarily in a standard office environment. When entering manufacturing or production areas, protective eyewear and/or hearing protection may be required.

Pay Details: $22.00 to $24.00 per hour Benefit offerings available for our associates include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits and a 401K plan.
