Inventory Control Specialist

The City is looking for a detailed and organized team member to manage the ordering, inventory and billing of parts and supplies needed to maintain the City's fleet of vehicles and equipment used by staff for the benefit of South Lake Tahoe's citizens. Experience with RTA Fleet Software is highly desired.

IDENTIFYING CHARACTERISTICS The Inventory Control Specialist is a journey level classification. The incumbent requires experience, knowledge, skills and abilities of a specialized nature. Positions at this level work with a high degree of independence performing duties relative to the assigned program area.

Examples of Duties

Under general supervision from the Fleet Manager, the Inventory Control Specialist performs a variety of duties in maintaining the automotive and equipment parts section of the motor pool.

The following duties are typical for this classification. Incumbents may not perform all of the listed duties and/or may be required to perform additional or different duties from those set forth below to address business needs and changing business practices.

  • Orders and issues parts, supplies, tools, and materials, including vehicle mechanical and electrical parts, oils, greases and chemicals, and assorted shop supplies.
  • Completes parts requisition forms; prepares purchase orders as necessary.
  • Contacts vendors and secures price quotations and determines availability of materials and goods; places orders.
  • Receives and accounts for incoming shipments; checks shipping invoices against purchase orders for discrepancies in order.
  • Organizes and maintains the inventory storage area; conducts physical counts as necessary.
  • Compiles records of supply transactions; posts parts issued to the appropriate work order; prepares month end reports.
  • Maintains adequate stock levels and records on all materials; participates in scheduled inventories.
  • Maintains the motor pool's fuel supply.
  • Operates a fork lift and various office machines, including a computer terminal.
  • Assists mechanics in a variety of vehicle repair and maintenance duties.
  • Researches and orders parts for fire suppression equipment when Fire Mechanic is unavailable.
  • Performs related duties as required.

Typical Qualifications

The following generally describes the knowledge and ability required to enter the job and/or be learned within a short period of time in order to successfully perform the assigned duties. Knowledge of:

  • Vehicle part and supply storekeeping methods and procedures including inventory control.
  • Basic principles and practices of purchasing.
  • Types of supplies, materials and equipment commonly used by a motor pool operation.
  • Record keeping methods and procedures.
  • Safety hazards and appropriate precautions applicable to work assignments.
  • Modern office procedures, methods and computer equipment.

Ability to:

  • Know and understand the operations of the unit.
  • Observe safety rules.
  • Analyze problem equipment.
  • Identify and locate necessary parts; remember location of parts.
  • Interpret work orders and explain operation to other employees.
  • Maintain and control a large vehicle parts and supply inventory.
  • Maintain accurate records.
  • Select and recommend the purchase of routinely used materials and supplies.
  • Perform arithmetic calculations accurately and rapidly.
  • Evaluate needs and estimate future supply requirements for parts and other inventory items.
  • Type at a speed necessary for successful job performance.
  • Assist the mechanics in fleet maintenance.
  • Communicate clearly and concisely, both orally and in writing.
  • Establish and maintain effective working relationships with those contacted in the course of work.

Education and Experience Guidelines - Any combination of education and experience that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be: Education/Training: Equivalent to completion of the twelfth grade. Experience: Two years of responsible storekeeping or related work experience involving the selection, purchasing, storing and issuing a variety of materials routinely used in a motor pool operation. License or Certificate: Possession of a valid California or Nevada driver's license.
